Can building a sports tournament schedule be that complicated?

Yes. It can be, and it is.

When it comes to running sports tournaments, some say “it takes a village.” Unfortunately, this responsibility often falls on the shoulders of a few individuals, or maybe only YOU! Between creating the tournament schedule, communicating with teams, collecting payments, booking hotels, selling merch, there just isn’t enough time in the day. We feel your pain. That’s why we are setting out to solve one of the biggest pain points for tournament managers: building the schedule. We’ve spoken with numerous customers and taken the time to outline the biggest challenges they face when it comes to scheduling. Here’s what we learned:

Time Preferences

One of the most common issues faced by sports tournament managers is accommodating time scheduling preferences for teams. Sometimes teams have to travel to get to the tournament and may need to arrive later on the first day of the tournament or leave earlier on the last day. This can be a tedious task for tournament managers as they are tasked with trying to find a schedule that suits everyone. Software can help automate this process and ensure you are able to support numerous requests and team preferences.

Matchups

Another common issue is determining the matchups. It can be challenging to ensure that teams who play each other all the time during the regular season do not face each other in the tournament if they would prefer to play other opponents. It's also important to make sure the matchups are fair, taking into account the skill level of each team. To accomplish this, tournament managers may analyze the team's past performance and consider their current skill level, or take specific requests from team managers & coaching staff.

Rest Time

Teams require adequate time to rest, recover, and travel between venues during tournaments. It's crucial to make sure that teams have enough time to travel to different facilities, get something to eat, or have enough recovery time before their next matchup. Tournament managers should allocate sufficient time between games and avoid scheduling games too close together for any given team.

Locations

Last but not least, some teams prefer to play in their home or preferred location, which can add complexity when creating a schedule. In some cases, it may make sense to provide equal opportunity for teams to play at least one of their games at a preferred location for the tournament, such as an outdoor ice rink, or a professional team’s arena. Once again, software can save the day when it comes to the need for juggling all these unique requests at once.
